Can you take over payroll mid-year without disrupting our PAYE records?+

Yes, and it is more common than starting from scratch in April. We migrate your year-to-date figures, employee records and PAYE reference into the cloud platform and notify HMRC of the new agent authorisation. The transition is handled on our side — your employees notice nothing except that payslips now arrive from a different system.

What does the payroll service cost and what is included?+

Pricing is a fixed monthly fee based on your headcount and pay frequency — weekly, fortnightly or monthly. The fee covers payroll processing, payslip distribution, RTI submissions, employer payment summaries, pension auto-enrolment calculations and HMRC correspondence. No separate charges for extra payslips or occasional queries. A fixed-fee proposal is provided before you commit to anything.

Our current payroll is a mess — will that cause problems switching?+

It rarely does. Messy payroll records, inconsistent historic data or a backlog of unreconciled PAYE submissions are not unusual for small businesses that have been managing payroll in-house or through a bureau that was not particularly thorough. We assess what needs straightening out during onboarding and agree a catch-up scope if required. It is better to fix it now than carry it forward another year.

Is there a minimum contract or lock-in period?+

No long-term contract. If the service is not working for you, you can leave with your payroll records, employee data and full PAYE history in a portable format. The only ask is reasonable notice so that any payroll cycle in progress is completed cleanly before the handover.

Do you handle payroll for businesses with workers on variable or irregular hours?+

Yes. Variable-hours payroll, zero-hours contracts and irregular pay structures are all handled within the service. Holiday pay calculations under irregular arrangements, the correct classification of workers for auto-enrolment purposes and HMRC reporting for variable-pay periods are areas where getting it wrong creates liability — so they are areas we watch carefully.

Can you give directors visibility of total employer payroll costs, not just take-home pay?+

Yes. Employer NIC, pension contributions and total payroll cost per head can be provided as part of the monthly payroll summary. For clients on a management reporting or virtual FD engagement, payroll cost feeds into the monthly management accounts and KPI dashboard automatically — so the picture is visible in real time rather than assembled from separate reports at year end.
