Most clients are fully onboarded and running payroll within a week of their first call. The process is straightforward and most of the work sits with us.

Book a discovery call

A short call — usually 20 to 30 minutes — to understand your current payroll setup, headcount, pay frequency and any complications. No preparation required on your side. You will leave the call with a clear picture of what the service covers and what it costs.

We collect what we need

We send a straightforward onboarding checklist covering employee records, current PAYE reference, existing pension scheme details and any carry-over data from your previous provider. If your records are incomplete, that is not unusual — we have dealt with it before and will work with what exists.

First payroll run processed

We run your first payroll, file the RTI submission and produce payslips for distribution. PAYE liabilities are confirmed and the payment amount due to HMRC is communicated clearly before the due date. You review and approve — the process is yours to oversee, not ours to disappear into.

Payroll off your plate

From that point, each pay period runs without you having to initiate it. Deadlines are met, contributions are filed and queries are answered the day they arise. Which is, frankly, the way payroll should work — and usually does not, until it is properly outsourced.

Things people ask before switching payroll

Do you handle director payrolls as well as employee payrolls?+

Yes. Director payrolls — including the common arrangement of a low salary topped up with dividends — are handled as standard. The split between salary and dividends has Corporation Tax and personal tax implications, and because OD Accountants covers both payroll and tax, the two are considered together rather than in isolation. If you are currently running a director-only payroll yourself, that is one of the more common things we take over.

What does the payroll service cost and what is included?+

Fees are fixed monthly and depend on headcount and pay frequency. The fee covers the full payroll run, RTI filings, payslip production, auto-enrolment administration and PAYE liability reporting. There are no variable charges for routine tasks within your agreed parameters. Indicative pricing is provided on the discovery call — the simplest way to get a number is to fill in the quote form, which takes about two minutes.

Our current payroll is a bit of a mess. Is that a problem?+

Not especially. Incomplete employee records, missed RTI submissions and pension gaps are all things we encounter regularly. The onboarding process starts with a review of what exists and a plan to bring everything current before the first live payroll run. There may be a catch-up cost depending on the volume of remedial work, which is discussed and agreed up front rather than appearing on an invoice later.

Is there a minimum contract or lock-in period?+

No minimum contract. Payroll is invoiced monthly and the arrangement can be ended with reasonable notice. If you leave, you receive a full data export of all payroll records, RTI history and employee information — clean and in a format your next provider can use. You will not be held to a long notice period or charged an exit fee.

Can you take over payroll from another provider mid-year?+

Yes, and mid-year transfers are straightforward in most cases. The key information needed is the existing PAYE reference, year-to-date figures for each employee and the current pension scheme details. Most payroll platforms export this in a standard format. We have handled mid-year transfers from a range of providers and the disruption to the pay cycle is typically minimal.

How far in advance will I know what PAYE is due to HMRC?+

The PAYE liability for each period is confirmed when the payroll run is finalised — typically several days before the payment deadline, not the day before. That gives you time to ensure the funds are in place without a last-minute scramble. For businesses with variable monthly payrolls, knowing the liability early also helps with cash-flow forecasting, which connects to the broader management reporting the firm provides.
